Smart Job Fill stores most profile, mapping and application information locally in your browser. If you opt in to AI features, the information described below is sent to the Smart Job Fill API and DeepSeek solely to match categories or create a requested answer draft. Smart Job Fill never submits job application forms.

About Smart Job Fill

Smart Job Fill is a Chrome extension that helps users save reusable job-application information and fill matching fields on application websites after the user clicks Autofill.

Information handled

Depending on what the user chooses to enter or teach the extension, Smart Job Fill may handle:

• Name, email address, telephone number and postal address.
• City, region, country and other location information entered in the profile.
• Professional profile, portfolio and website URLs.
• Job-application answers, including motivation and user-created custom answers.
• Text from a PDF résumé selected by the user for local profile extraction.
• Form labels, questions, field names, identifiers, placeholders and autocomplete attributes.
• Website hostnames used to remember user-defined field mappings for a particular website.
• Job titles, company names, application URLs, dates and application statuses.
• Unmatched question wording, profile-category definitions, optional AI answer context, generated drafts and category matches.
• IP address temporarily processed to limit abuse of the optional AI endpoint.

How information is used

Smart Job Fill uses this information only to provide its job-application autofill features:

• Saving the user's reusable application profile.
• Extracting supported profile details from a user-selected PDF résumé on the user's device.
• Detecting fields that match saved profile categories.
• Inserting saved values after the user chooses to run Autofill.
• Saving an answer entered into a recognised, previously blank application field to the local reusable profile after the user has run Autofill.
• Remembering categories, question examples and website-specific field mappings taught by the user.
• Keeping local application history and a user-created list of jobs saved for later.
• Suggesting high-confidence profile categories for unmatched questions after an opted-in user runs Autofill.
• Aggregating question labels and AI category matches to improve the shared category catalogue.
• Creating an optional answer draft after the user explicitly requests it.

Local storage and retention

Profile information, custom answers, learned examples, website mappings and application history are stored locally using Chrome extension storage. Except for the optional AI requests described below, this information is not sent to the developer or external services. Selected PDF files and their extracted raw text are not retained after processing; only detected profile values are saved. After Autofill recognises a field whose reusable profile answer is blank, an answer the user enters into that field is saved automatically to the local profile when editing finishes. These locally captured answer values are not sent as part of AI category matching or category-learning records. A local daily usage counter limits Fill with AI to ten generation attempts per extension installation. Locally stored information remains until the user changes it or removes the extension.

Optional AI features

AI features are optional and disabled until the user accepts the disclosure and saves the profile. After an opted-in user clicks Autofill this page, Smart Job Fill automatically sends unmatched questions and definitions of available profile categories to suggest high-confidence matches. Profile answer values are not included. Uncertain questions remain unmatched for the user to categorise manually.

When the user clicks Fill with AI, Smart Job Fill sends that question, the detected job title and company, and the user-provided AI answer context to generate a draft. The user reviews and chooses whether to insert it; Smart Job Fill does not submit it.

Smart Job Fill retains unmatched application-question labels and high-confidence category matches in its database so repeated examples can be reviewed and added to future versions of the shared category catalogue. Stored records can include the question wording, matched category name and ID, confidence, occurrence count, dates and extension version. They do not include profile answers, résumé content, AI answer context, job URL, job title, company or generated answer drafts. Smart Job Fill does not intentionally retain Fill with AI prompts or responses on its server. Saved profile answer values, the full profile, résumé file, application history and saved-job list are not included in category-learning records. Hosting infrastructure may process technical request information. The API temporarily processes the request IP address for basic rate limiting. DeepSeek processes the prompt and response under its privacy practices.

Autofill and job application websites

When the user clicks Autofill, Smart Job Fill reads supported form information on the selected page and inserts matching saved values into that page. The destination job application website may receive those values if the user subsequently submits the form. Smart Job Fill does not submit forms; users are expected to review all filled values and decide whether to submit them.

After autofill, Smart Job Fill watches for a likely submission action and checks the page for common success messages. It marks the history entry as applied when submission is confirmed by the page, or asks the user when the result remains uncertain. Users can remove locally saved application-history entries at any time.

Sharing, sale and advertising

Smart Job Fill does not sell personal information or share it with data brokers or advertising platforms. Information included in an optional AI request is transferred to DeepSeek only to provide category matching or the answer draft requested by the user. Smart Job Fill does not otherwise use it for targeted advertising, or use it to determine creditworthiness or for lending purposes. It does not use analytics or tracking services.

Feedback and review requests

To avoid repeatedly asking for a review, the extension stores a successful-autofill count and whether its review request has been shown or dismissed. This information stays in local Chrome extension storage and is not transmitted to the developer.

Feedback and review links open the Smart Job Fill website or Chrome Web Store. The website feedback form prepares an email in the user's own email application and does not submit form contents to a Smart Job Fill server. If the user chooses to send that email, the developer receives the information the user included, such as feedback, an optional rating, website name and reply address. Feedback is used to provide support and improve the product. It is not published as a testimonial without separate confirmation from the sender. Chrome Web Store reviews are handled by Google under Google's applicable privacy terms.

Permissions

• Storage: saves the user's profile and learned mappings locally.
• Scripting: runs field detection and autofill after the user requests it.
• Active tab: temporarily accesses the current page after the user requests autofill.
• Smart Job Fill website access: connects to the Smart Job Fill API for opted-in category matching or user-requested answer drafts.

Security

Smart Job Fill keeps locally saved information on the user's device and uses HTTPS for optional AI requests. The DeepSeek API key remains on the server and is not included in the extension. Users should protect access to their browser profile and review all populated or generated fields before submitting an application.

Chrome Web Store Limited Use

The use of information received from Chrome APIs adheres to the Chrome Web Store User Data Policy, including the Limited Use requirements.

Changes to this policy

This policy may be updated when Smart Job Fill's functionality or data practices change. Any updated policy will appear on this page with a revised effective date.
